Club Dinner Meeting Minutes

NMVI MEETING July 10, 2008

Bob Barron called the meeting to order at 7:00 P.M. at the Golden Corral Restaurant.  A motion was made by John Hill and seconded by Fred Horner to accept the Minutes from our last meeting.  Voice vote approved unanimously.  A motion was made by Bob Barron and seconded by Bonnie Townsend to accept the Treasurers Report.  Voice vote approved unanimously.
OLD BUSINESS:

  • The garage sale at John & Bonnie Townsend’s was discussed.  It will take place on July 26th.  A sign up sheet was passed around for volunteer help.  Set-up will start at 5:30 A.M. needing 6-8 people.  Volunteers signed up to cover the entire rummage sale, set-up through clean-up.
  • The Light Parade went well.  The Pepsi carts were greased and in good working condition.  Mirrors were on the lawn tractors used to pull the Pepsi carts.  The parade was successful and everyone had a great time.  Next year we’ll do it again and hope for more participation.  It turned out to be the “Black Light Parade” when the lights went out on Bob’s Pepsi carts… right in front of the judges!!
  • The Las Cruces Horse Association is still looking for a tractor to buy.  Call Bob Roner at 649-4822 if you have one. 

NEW BUSINESS:

  • Pepsi would like more exposure from our club.  We received new “barrels” for the train.  They need a good cleaning, so a work day will be held at the Bud Deerman farm on August 16th at 8:00 A.M.  If you need directions, call.
  • The County Fair is the 1st weekend in October.
  • The Ice Cream Social is the next meeting.  A motion was made by John Hill and seconded by Bud Deerman to have it at either John & Bonnie Townsend’s or Tony & Barbara Valdez’s on September 4th at 6:00 P.M.  Voice vote approved unanimously.  They will decide where it will be and we will let everyone know. (Tony & Barbara Valdez will have the Ice Cream Social:  address is 541 Helen’s Place, Dona Ana)
  • Fred Horner has a new tractor.  It’s an Ernest Harris Farmall 200 (super C).
  • Door prize drawings for two NMVI Club hats were won by Robert Wright and Ron Tharp (both from Deming).  Congratulations!
  • Bob Barron moved to adjourn the meeting at 7:52 P.M., seconded by Fred Horner.  Voice vote approved unanimously.

 

 

NMVI MEETING May 15, 2008

Bob Barron called the meeting to order at 6:30 PM while we were waiting for the buffet to be set up at the Taste of Home Restaurant.  He told us a little about his recent trip to the Oklahoma Steam Thresher’s and Gas Engine Association that took place in Pawnee, OK. It was a great time, even if he got hail damage on his truck, and he hopes to have a little something in the next newsletter about the event in OK.  A BIG THANKS to Bette & Val for putting out the last newsletter.   After a little food, we resumed our meeting.
OLD BUSINESS:

  • Pepsi has given us a check for the fair dinner in the amount of $650.00. 
  • Thank You to John Hill for greasing the Pepsi cart wheels.
  • Nita Imel will register us for the Las Cruces July 3rd Light Parade and get the information out to us. 
  • John Hill told us all the information he found out from EDGE&TA Insurance in regards to our Pepsi carts and they revised the requirements and agreed to the way we have been operating by pulling them with lawn & garden tractors.  However, the tractors must have 2 rear view mirrors, height restriction to 5’ and weight restrictions depending on the weight of the garden tractor.  Ages 3-12 may ride, and an exception was made for special needs children when needing an adult to ride with them.  Then only 2-3 carts may be used, depending on the load.
  • The garage sale at John & Bonnie Townsend’s was discussed.  A motion was made by Goober Gardner and 2nd by Sandra Gardner to have it on August 2nd.  After a show of hands and further discussion, Val Killam moved to have it July 26th and was 2nd by Doug Killam.  A show of hands showed more wanting Saturday, July 26th.  Anything donated for the sale can be dropped off at 2004 N. Alameda starting the 2nd week of June.  Call before you go, home 526-6362 or cell:  496-3831 or 496-7245.  We will need $150.00 each for (2) cash boxes.

NEW BUSINESS:

  • The Las Cruces Horse Association wants to buy a 25 H.P. tractor with 3 pt.  If anyone has one and would be interested in selling it, call Bob Roner at 649-4822.  The price they are looking at is between $3,500 - $4,000.
  • Pepsi wants more exposure @ parades and they are checking into extra insurance for that.
  • A motion was made by Val Killam that the club buy the mirrors for the tractors to use when pulling the Pepsi carts and 2nd by Goober Gardner.  Voice voted approved unanimously.
  • The next meeting will be Thursday, July 10, because of the Light Parade, and location to be determined later.
  • Goober Gardner moved to accept the Treasurer’s Report and 2nd by Val Killam.  Voice vote approved unanimously.
  • Door prize drawing for choice of either a John Deere or Farmall toy tractor was won by Shorty Duffey.
  • Bob Barron moved to adjourn the meeting at 8:35PM, 2nd by Bonnie Townsend.  Voice vote approved unanimously.

 

NMVI MEETING January 10. 2008

The NMVI meeting was held at the Taste of Home Restaurant with supper at 6:00 PM.  The meeting was called to order at 6:45 PM by President, Bob Barron.  Doug Killam was asked to give a review of the auction and donations. Donations of $215.00 each were much appreciated by both the Community Action Agency and the Boy’s and Girl’s Club.
New Business:

  • President Bob Barron asked members for their ideas of things to do and get involved with this year. 
    • Possible hay ride for the Boy’s & Girl’s Club
    • Bring stuffed animals to a meeting to give to the sheriff’s department
    • Bonnie Townsend offered to have a garage sale at her house
    • Have a food drive & include a tractor drive to deliver to the food pantry
  • We need a work/fun day out at the fairgrounds as we have a building there that is ours and could be very useful for displays during the fair.
  • Floyde Adams wanted to look into the old engine outside the fairgrounds gate.  Maybe it can be donated to us for the fair?
  •  Suggestions wanted to get the ladies more involved in the club?
  • Nita Imel resigned from “editor” of the newsletter position, asked for a volunteer.
  • EDGETA Insurance needs a coordinator from the club.  John Hill volunteered.  Doug Killam discussed requirements for tractor drives, parades, barrel rides, etc.
  • Fred Horner offered $1,000.00 to put plaques on the grist mill wall for Alvin Davidson and Dan Quirico.  We thank you, Fred!  He is going to see Jon Davidson about making them.
  • Floyde Adams moved to give free memberships to Jon and Evelyn Davidson for making plaques.  It was seconded by Doug Killam. Voice vote unanimously carried.
  • We discussed the possibility of having a “National Tractor Pull” at the fairgrounds as a winter event.  Voice vote to proceed to get info and support from other clubs in Arizona & possibly Texas.
  • Discussion of moving all club member’s dues date to coincide with EDGETA dues:  A motion was made by Floyde Adams to increase the dues to be $30.00 per year, which would include one EDGETA driver, and move everyones membership due date to March 1st.  Any additional EDGETA fees would be $10.00 per each member of the family that wishes to participate in any event by driving a tractor.  Sandy Gardner seconded the motion.  Voice vote carried.
  • Our next meeting will be March 6, 2008 at the Taste of Home Restaurant.  Dinner at 6:00 PM and meeting to follow. 
  • It was moved by Bud Deerman to adjourn the meeting and seconded by Gobber Gardner.  Meeting adjourned at 8:10 PM

NMVI MEETING November 1, 2007

The NMVI meeting was held at the Golden Corral with supper at 6:00 PM. The meeting was called to order at 7:05 PM by President, Jay McKeen.  A motion was made by Tony Valdez to approve the minutes from the last meeting and the Treasurer’s report for the last two months.  It was seconded by John Hill.  Voice vote approved both unanimously.
Old Business

  • The Christmas Dinner was discussed and voted on having it at the Dickerson’s Event Center this year instead of the Farm and Ranch Museum.  The date will remain the same, Tuesday December 11th at 6:00 PM. It will be potluck style the same as last year.  Jay McKeen volunteered to cook the turkey again and Val Killam the ham. 

New Business:

  • Donated items of a $10 - $15.00 value were suggested for the Christmas Party’s Auction this year.  It is a good, fun, money maker for the club.
  • Bud gave the Southern NM Fair report. “Thanks” was given to those who were there to help and asked for additional volunteers for next year’s fair. 
  • Doug Killam discussed buying NMVI hats at a cost of about $10.00 each from Hoop d Dudes as they over charged us for shirts and we have a credit there.  It was moved by Bud Deerman and seconded by Henry Imel and voice approved.
  • New officers’ nominations for next year:  Bob Barron volunteered to be our President; Goober Gardner, Vice President; Doug Killam Secretary/Treasurer.  No new nominations from the floor were given.  Val Killam moved to accept nominations as given.  Bud Deerman seconded and voice vote carried unanimously.  Board Members at large will be:  Bud Deerman, John Hill and Henry Imel.  Ex Officio Board Member is Jay McKeen.  It was moved by Henry Imel and seconded by Gene Killam to accept the members as stated. Voice vote approved unanimously.
  • Floyd Adams stated that we need to revisit our Safety Rules and bring them up to date.  There were some safety issues observed at the fair and luckily no one was injured.  We will get the safety info from EDGETA and appoint a committee to review this to revise our Safety Rules.
  • Doug Killam talked about EDGETA Insurance wanting to expand our insurance coverage if anyone needs it.  There will be an update on this Insurance information at the January meeting.
  • November 17th the Hardware store in Hatch wants to have some antique tractors there for their grand opening.  There will be free hot dogs.  If anyone is interested, call Chuck Watson at 267-4839.
  • Nita Imel was nominated for the Events Coordinator again next year.  It was moved by Tony Valdez and seconded by Bob Barron.  Voice vote approved unanimously.
  • Raffle tickets for the JD pedal tractor, donated by South Plains Implement, were sold at the fair and sales will continue through the Christmas party.  Some tickets were given to members to sell.  The drawing will be held during the Christmas dinner.
  • Doug Killam suggested we have a Tractor Drive to collect food for the Food Pantry to give a little back to the community.  He will bring more information to the Christmas Party to see if there is any interest. 
  • Our next meeting will be January 3rd, but the place hasn’t been determined.

It was moved by John Hill to adjourn the meeting and seconded by Eileen McKeen.  Meeting adjourned at 8:00 PM.

 

NMVI MEETING September 6, 2007

The NMVI meeting was held at Dickerson’s Event Center, with grilled hot dogs for dinner at 6:00 PM and a HUGE dessert table with home made ice cream!  The meeting was called to order at 7:30 PM by President, Jay McKeen.  A motion was made to approve the minutes from the last meeting by Bud Deerman and seconded by Bob Barron.  Voice vote by members approved unanimously.
Old Business:

New Business:

  •  Bills:  Jay  McKeen ($33.31) and Nita Imel ($105.06) had some outstanding expenses.  John Hill moved to pay them and was seconded by Bud Deerman. Voice vote by members approved.
  • The Whole Enchilada Parade has a $25.00 entry fee.  Bud Deerman moved that we pay the fee and was seconded by Goober Gardner.  Voice vote by members approved.  Nita Imel will get the form to Doug Killam to complete.
  • Discussed the Southern NM Fair.  Monday, (10/1) will be clean up, set up, and get ready. 
  • Friday night will be the Chili Pot supper.
  • Saturday night will be the catered club dinner.
  • Pepsi Carts should be ready as they are getting new paint and  new Pepsi decals.
  • Tractor Pulls were discussed and times will be posted on the website.
  • The same Tractor souvenir vendor will be here again this year. 
  • The fair magnet will be in memory of Dan Quirico.
  • Tractor Parades will take place daily as well as the intermission parade during the stock car races on Saturday night.
  • Fund Raisers:  Space on the Fair Banners is being sold for $100.00 per name/business.
  • Raffle tickets will be sold for the JD pedal tractor, donated by South Plains Implement, from Fair time through the Christmas party.  The drawing will be held during the Christmas dinner.
  • Discussed how club funds should be spent at the fair.  Bud Deerman explained the cake purchase is a donation to the fair for providing space and electricity to our campers while there as well as the track for the tractor pulls.  It was moved by Goober Gardner to limit amount spent at the cake auction to $400.00 and was seconded by Charley Welch.  Voice vote by members approved.  John Hill moved for Goober Gardner to buy the cake this year and it was seconded by Bud Deerman.   Voice vote by members approved.
  • Discussed the use of the Pepsi wagons during various functions.  Doug Killam offered to contact EDGETA to verify regulations regarding their use during parades.  It was moved by Bud Deerman and seconded by John Hill to not contact EDGETA at this time.  Voice vote approved.
  • Floyd Adams gave a brief report on the tractor drive to Mogollon.  The scenery was awesome and suggested it become an annual event.
  • Doug Killam asked for shirt orders so we can have them here in time for the fair.
  • A big THANKS and a round of applause for Nita Imel’s continued work on the club’s website.
  • It was moved by John Hill and seconded by Fred Horner to hold the next meeting on November 1st at the Golden Corral.  Voice vote approved.
  • A nomination committee will be formed to obtain potential club officers for next year.
  • Christmas dinner at the Farm and Ranch Museum will be 12/11. - Schedule change the Christmas Pot Luck dinner will be held at Dickerson's Event Center

NMVI MEETING July 12, 2007

The NMVI meeting was held at the Golden Corral Restaurant with dinner at 6:00 PM and the meeting starting at 7:05 PM.  The meeting was called to order by vice president, Henry Imel.  A motion was made to approve the minutes from the last meeting by John Hill and seconded by Eddy Grooms.  It was moved to approve the Treasurers report by Goober Gardner and seconded by John Hill.  Voice vote by members approved both unanimously.
Old Business:

  • We won first place at Winston Parade
  • We need more participation in parades

New Business:

  •  Floyde Adams talked about their trip to Rollag, MN.  They have 6,000 members in their club. 
  • Discussed the tractor drive at Glenwood.  The sheriff Ok’d 4 wheelers with SMV sign.
  • The September meeting will be on 9/6/07 at Henry & Nita Imel’s house at 3930 W. Picacho at 6:00 PM.  It will be an ice cream & cake social.

NMVI MEETING May 3, 2007

The NMVI meeting was held at the Furr’s Buffet Restaurant in the private meeting room with dinner at 6:00 PM and the meeting starting at 7:10 PM.  The meeting was called to order by president, Jay McKeen.  A motion was made to approve the minutes from the last meeting by Henry Imel and seconded by Eileen McKeen.  It was moved to approve the Treasurers report by Nita Imel and seconded by John Hill.  Voice vote by members approved both unanimously.


Old Business:

  • Jay McKeen suggested we table the tractor drive in Glenwood until next meeting to see who if any can or want to come.
  • Play Day at SNM Fairgrounds was a lot of fun. 

New Business:
  • John and Kay Hill are officially married now.
  • Today is Richard Oberleas’ birthday and he’s 83years old.
  • John Hill suggested we have the next meeting on 7/12/07 at the Golden Corral because Furr’s charged us $25.00 this time for the use of the private room.  The date was changed because the regular meeting date would fall the day after the 4th of July and a lot of people would not be able to attend. Henry Imel made a motion to go to Golden Corral on 7/12; Bill May seconded the motion.  Motion passed unanimously.  Kathy Duffy moved that the club should pay Henry Imel back the $25.00 deposit and Eileen McKeen seconded the motion.  Voice vote was approved unanimously.
It was moved by Tim Duttle to adjourn the meeting and seconded by Bill May.  Meeting adjourned at 7:35 PM.
 
NMVI MEETING March 8, 2007

The NMVI meeting was held at the Furr’s Buffet Restaurant in the private meeting room with dinner at 6:00 PM and the meeting starting at 7:00 PM.  The meeting was called to order by vice president, Henry Imel.  A motion was made to approve the minutes from the last meeting by John Hill and seconded by Bud Deerman.  It was moved to approve the Treasurers report by Goober Gardner and seconded by Bill May.  Voice vote by members approved both unanimously.

Old Business:

  • Jay McKeen had suggested we have a tractor drive in Glenwood during the month of June and he’d like it to be June 15th – 16th.  There could be a 3 mile drive on Friday and a 14 mile drive on Saturday.

New Business:

  • A Play Day at SNM Fairgrounds for 4/14 @ 10AM was discussed.
  • Ag in Schools days at University Hills Elementary on 4/27 and Valley View Elementary on 5/4 were discussed.  We will need 2 to 3 tractors and trailers for each school. 
  • Nita Imel passed out a sheet with proposed 2007 tractor event and dates.  Henry Imel went over the parade schedule.
  • Gene Killam will be having an auction on June 2nd in Wisconsin and wanted everyone to know the website to see what’s being sold:  www.aumnannauctions.com.
  • Shirt sales were discussed and some orders were taken by Doug Killam.
  • Nita Imel brought up the Christmas Party at the Farm & Ranch Museum for December 11th this year.  Sue Deerman moved we accept that date and place, and it was seconded.  Voice vote by members approved unanimously.
  • Goober Gardner discussed the Fair Book and who the contacts were last year and who they should be this year.

  • Goober Gardner also thought we should dedicate this year’s fair to Dan Quirico and all members were in favor.   
  • The Pepsi Train was discussed with thoughts of putting a different flag on each wagon.  Pepsi was going to refurbish the carts.  Bud Deerman and Goober Gardner were going to check on that.
  •  Bud Deerman was wondering about covering the grist mill at the fairgrounds and              members agreed to do that. 
  • Shorty Duffey will organize the parade at the fair during the races.

John Hill made a motion to adjourn, seconded by Gene Killam.  Voice vote by members approved unanimously.  Meeting adjourned at 7:30 PM.

 

NMVI MEETING January 4, 2007

The NMVI meeting was held at the Furr’s Buffet Restaurant in the private meeting room with dinner at 6:00 PM and the meeting starting at 7:00 PM.  The meeting was called to order by president, Jay McKeen.  A motion was made to approve the minutes from the last meeting by Goober Gardner and seconded by Gene Killam.  The Treasurers report was approved by Gary Briggs and seconded by Gene Killam.  Voice vote by members approved unanimously.

Old Business:
  Christmas Party - $410.00 earned from toy and memorabilia auction, was donated to Mesilla Valley Hospice.

New Business:
  Gary Briggs said that maybe some of the dollars earned each month from dues or a fundraiser could fund a scale for tractor pulls.  Floyd Adams suggested we could build our own scales.  He will do plans and proposal for an 8 foot X 12 foot scale.  Bud  Deerman said he has a set of load cells.  A committee of Gary Briggs and Floyd Adams was set up to discuss and research this.

It is unknown at this time if there will be a Cowboy Days @ American RV due to budget cuts.  Members will be advised as information comes available. 

Next meeting will be on 3/1/07 (due to scheduling conflict later changed to 3/8/2007) at Furr’s Buffet with dinner at 6:00PM and the meeting at 7:00 PM.  Doug Killam made a motion to accept, Henry Imel seconded.  Voice vote by members approved unanimously. 

Jay McKeen suggested we have a tractor drive from Glenwood to Mogollon in June.

News letters by mail or e-mail were discussed.  Nita Imel will mail one more hard copy and then e-mail those who have e-mail addresses after that time.  Hard copies will continue to be mailed to those who have no e-mail address.  Motion by Bud Deerman to accept, and seconded by John Hill.  Voice vote by members approved unanimously.

Nita Imel suggested setting up a static display at  Cracker Barrell.  Jay McKeen will talk to the manager about a time and date.  Nita Imel also brought up the possibility of having a tractor pull at the corn maze next fall. 

Judy Briggs made a motion to adjourn, seconded by Kathy Duffey.  Voice vote by members approved unanimously.  Meeting adjourned at 8:00 PM

NMVI Meeting Nov 2, 2006

The NMVI meeting was held at the Furr’s Buffet in the private meeting room.  Dinner was at 6:00 PM and the meeting was at 7:00PM.  The meeting was called to order by Jay McKeen, President with a welcome to George O’Day  who traveled down from Elephant Butte. 

First item of New Business was the election of officers for 2007.  Nominated were:

Henry Imel, Vice President
Doug Killam, Secretary
Doug Killam, Treasurer
Board Members at large-
  Bill Johnson
  John Hill
  Goober Gardner
Board Member-ex officio
  Bud Deerman

Members were invited to nominate other members for any offices.  Nita Imel proposed that we accept the proposed officers by acclimation.  John Montgomery seconded the motion and the members voted unanimously to uphold her motion.

The Christmas Party was announced to be at the Farm and Ranch Heritage Museum on Dec. 12th.  Nita Imel proposed that we appoint Sue Deerman as a leader in the set up of arrangements for this event. 

Under old business, Floyde Adams read three letters that the club received from prisoners at SNM Correctional Institution.  They were expressing their thanks for the breakfasts and conversation they had been given at the SNM Fair from the club.  Also mentioned was how much the race crowd enjoyed the tractor club participation during intermission at the races on Sat. Night.

Members approved allowing Nita Imel to arrange with an internet provider for an independent web site for the club.  It has previously been hosted by Adams Auto Center as part of their web site.  The charge was reported to be $300.00 for five years.

Henry Imel announced that he would be ordering more flags for the club members who wished to have their own flags.  The cost this time will be $80.00 since there will be no set up fee.

Executive Minutes

NMVI Executive Council Meeting
Oct. 26th 2006

The 2006th Christmas Party will be held on Dec. 12th at the NM Farm and Ranch Heritage Museum at 6:00PM,   The change in normal date was necessary because of conflicts in schedule of the museum.  It was decided to hold another auction since that was very popular.  It was also decided that we would forego having music so conversation would be easier and to save the club budget.  The club as usual will purchase the turkey and ham that members can cook.

The election of officers will be held at the Nov. meeting on November 2nd.  It will be at the Furr’s buffet off of Walnut with dinner at 6:00 PM and the meeting starting at 7:00PM.  The present officers have agreed to stay on the ballot next year except for Sec. and Treasurer, Connie Adams.  After discussion about who was capable and willing to do this job, the officers talked to Doug Killam.  Doug attended the executive council meeting to talk about exactly what was involved and decided to agree.  The financial records have been being kept on Quicken but the club was using Connie Adams copy.  It was decided that the club would buy its own copy so that when it is turned over in Jan. it will be complete with the software.  Connie Adams will prepare a ballot that will recommend this slate of officers for the meeting.

The meeting was attended by Jay McKeen, Henry Imel, Connie and Floyde Adams, Doug Killam and briefly John Hill.  Absent were Bill Johnson, Bud Deerman, and Goober Gardner.   The meeting adjourned at 7:30 PM
